Terminals 1, 2, 3, and 5: Know Where Your Group Comes Out

O'Hare group transportation goes smoothly when everyone knows which building they are in. The airport has four passenger terminals, numbered 1, 2, 3, and 5. There is no Terminal 4.

Terminals 1, 2, and 3 form the connected domestic core. They share a two-level roadway, with departures on the upper level and arrivals and baggage claim below, and you can walk between them indoors. Terminal 1 is closely associated with United and Terminal 3 with American, while Terminal 2 hosts a mix of carriers. Terminal 5 stands apart on the east side of the airfield. It handles most international arrivals and is also home to several domestic airlines, so check the ticket rather than assuming a domestic flight means the main complex. Getting between Terminal 5 and the others means riding the Airport Transit System, the free automated train, which takes time with a group and bags.

This matters for two reasons. First, a group arriving on different airlines may be in two buildings that are a train ride apart, and the pickup plan has to choose one meeting point. Second, airlines occasionally move terminals, so confirm on the airline's app the day before.

International Arrivals at Terminal 5

International groups need the most patience and the most planning. After landing at Terminal 5, passengers go through passport control, wait for checked bags, and then pass customs before they reach the public arrivals hall. For a group traveling together, the wait is set by the slowest member. A family with Global Entry may be out in 25 minutes while colleagues on visitor visas take an hour and a half. Planning on 60 to 90 minutes from touchdown to curb is reasonable for most international groups, and longer when several wide-body flights arrive close together in the afternoon.

Two exceptions are worth knowing. Flights from airports with US preclearance, such as Dublin, Toronto, and several other Canadian cities, arrive as domestic flights, and may come into a different terminal with no customs wait at all. And a group connecting onward from an international arrival has to re-check bags, which is a different problem from a ground pickup.

Practical steps: name a meeting point inside the Terminal 5 arrivals hall, have the first person through text the group leader, and have the leader contact dispatch only when the whole party has its bags. The vehicle will be held in a staging area rather than at the curb, then called forward. Ask your operator how waiting time is counted for international arrivals, and have it confirmed in your written quote, since a fixed grace period that works for a domestic flight may not be enough here.

Pickup Procedures, Staging, and the Multi-Modal Facility

O'Hare controls where commercial vehicles may pick up, and the rules vary by vehicle class. A pre-arranged Sprinter, a limousine, and a full-size charter coach may each be sent to a different door, lane, or bus area, and none can sit at the arrivals curb waiting for a group to appear. Vehicles wait in a staging lot and are called up when passengers are ready.

Those locations have moved more than once in recent years with terminal and roadway construction, which is why we will not print door numbers here. Your dispatcher will give you the current pickup instructions for your terminal and vehicle type shortly before the trip. Read them before takeoff, because a jet bridge is a bad place to open an email for the first time.

The Multi-Modal Facility (MMF) is the large building northeast of the terminals that houses the rental car companies and economy parking connections, along with some regional bus and shuttle services. The Airport Transit System links it to every terminal. It matters to groups in two situations: when part of the party is renting cars while the rest rides with the group, and when a regional service your travelers are connecting with uses the MMF instead of the terminal curbs.

For departures the process is simpler. Vehicles drop on the upper level at the door for your airline. Unloading 30 people and their bags takes a few minutes, and airport traffic officers keep the curb moving, so have the group ready to step off with everything in hand.

I-190, the Kennedy, and the Tri-State: Realistic Drive Times

Every road trip from O'Hare starts on I-190, the short spur linking the terminals to the rest of the system. From there, the route depends on where you are headed.

Downtown via I-90, the Kennedy. It is about 17 miles to the Loop. Off-peak, allow 35 to 45 minutes. In the morning inbound rush and the afternoon outbound rush, 60 to 90 minutes is normal, and the junction with the Edens and the stretch past the Ohio Street exit are the usual slow points. The Kennedy's reversible express lanes help in the peak direction when they are open.

North and south suburbs via I-294, the Tri-State. This is the way to the North Shore, Lake County, and places such as Northbrook, and southbound to Oak Brook, the I-88 corridor toward Naperville, and the southwest suburbs. It is a tollway, so ask how tolls appear in the quote.

Northwest suburbs via I-90, the Jane Addams. Schaumburg, Hoffman Estates, and Elgin are 20 to 45 minutes away in ordinary traffic.

Add the group factor to any of these: 15 to 20 minutes to load at the terminal, and the walk from baggage claim to the pickup point. For an outbound trip, the route time estimator gives a base figure, and you should add a larger cushion in winter weather and on summer Friday afternoons, when the Kennedy is at its worst. A group that reaches the airport 40 minutes early loses nothing. A group that arrives 10 minutes late may lose the trip.

Rosemont Hotels, the Convention Center, and Corporate Arrivals

A large share of O'Hare group traffic never goes downtown. Rosemont, directly east of the airport, has the Donald E. Stephens Convention Center, a dense row of hotels along River Road, Allstate Arena, the Rosemont Theatre, and the restaurants of its entertainment district. Drive time from the terminals is often under 15 minutes. Many hotels run their own airport shuttles for individual guests, but they are not designed to absorb 40 attendees off one flight. A dedicated 24-passenger shuttle bus or a 56-passenger coach bus keeps a delegation together and on schedule. For trade shows, tell the dispatcher which hall and which hotel entrance, since the convention center complex has several.

Nearby Des Plaines, Park Ridge, and Elk Grove Village hold more hotels, the casino, and corporate offices, all within a short drive.

Group size drives the vehicle. About half of all inquiries in our booking network with a usable passenger count were for 11 to 20 people, and a quarter of the requests in that band arrived just two to four weeks before the date. For an O'Hare pickup, that size points to a shuttle bus rather than a van once luggage is counted. For executives and small client groups, a 12-passenger executive Sprinter van is the usual pick. Sprinter-quoted inquiries in the same data lean heavily to weekends, with 77% for Friday or Saturday dates, so midweek corporate arrivals generally face less competition for those vans.
