O'Hare, Midway, Milwaukee, Gary, or a Private Terminal?

Group airport transportation in Chicago starts with a simple question that gets skipped surprisingly often: which airport, and which part of it? The region has more options than most visitors realize.

O'Hare (ORD) is the big one, with four passenger terminals, most of the area's international flights, and the longest drive times. Our O'Hare group transportation page covers terminals, Terminal 5 arrivals, and expressway timing.

Milwaukee Mitchell (MKE) is about 85 miles north of downtown on I-94. North suburban groups sometimes find better fares there, and the ride from Lake County can be shorter than the trip to Midway. Treat it as a regional charter of roughly 90 minutes to two hours from the city.

Gary/Chicago International (GYY) in northwest Indiana mostly handles charter and private flights, including team and corporate aircraft.

Private terminals (FBOs) serve charter jets at O'Hare and Midway as well as at Chicago Executive in Wheeling, DuPage Airport in West Chicago, Waukegan National, Aurora Municipal, and Lewis University Airport in Romeoville. FBO pickups are calmer than commercial terminals, but the vehicle may need to be cleared to the ramp or the lobby ahead of time, so give the FBO's name and the tail number or charter operator's contact.

When a group is split between two airports, say so up front. It is usually two vehicles, not one long loop.

Size for the Luggage, Then the People

The most common airport mistake is booking by seat count. A vehicle that seats fourteen for a night out does not hold fourteen travelers with suitcases, because the bags end up on the seats.

Work from a luggage inventory. Count checked bags, carry-ons, and anything oversized: golf bags, skis, strollers, garment bags, trade show cases, instrument cases. Then use these rough guides and confirm specifics for the assigned vehicle:

• Up to 8 travelers with full luggage: a 14-passenger executive Sprinter van, using the spare seats and rear area for bags.
• 9 to 20 travelers: a shuttle bus such as the 24-passenger shuttle bus, many of which have a rear luggage area or overhead storage.
• 20 to 40 travelers: a larger shuttle bus, with luggage capacity confirmed in writing.
• 40 or more, or any group with heavy luggage: a motorcoach like the 56-passenger coach bus, which carries bags in bays under the floor.

Party buses and stretch limousines are built for celebrating, and most have little or no dedicated luggage space. They are great for a bachelorette group arriving with weekend bags if you size up generously, and a poor fit for international travelers with two suitcases each.

Flight Tracking and Wait Time: Questions to Ask

Flights are late, early, diverted, and canceled, and O'Hare and Midway both see weather delays in every season. Rather than assume how an operator handles that, ask these questions and have the answers reflected in your written quote.

• Do you monitor the flight, and what do you need from me? Provide the airline and flight number for every arriving flight, not just the scheduled time.
• When does the clock start on an arrival? Some transfers are timed from the scheduled arrival, some from actual landing, and many include a grace period before waiting time is billed. Groups with checked bags commonly take 30 to 45 minutes to reach the curb on a domestic flight and longer after an international arrival.
• What happens if the flight is delayed by hours or canceled? Find out whether the vehicle can be held, rescheduled, or released, and what charges apply in each case.
• Who do I call on the day? Get a dispatch number that is answered at the hour your flight lands, and give them the cell number of a traveler who will switch their phone on at the gate.
• Where will we meet? Commercial vehicle pickup locations at both airports are set by the airport and do change. The dispatcher should send current instructions shortly before your trip.

For departures, the question is simpler: what time does the vehicle arrive, and what happens if your group is not ready? A 5:30 AM pickup that leaves at 5:55 can turn a comfortable check-in into a sprint.

Working Backward From the Departure Time

Groups move slower than individuals at every step, so solo-traveler rules of thumb do not hold. Build the schedule in reverse.

Start with the flight. Most airlines advise arriving two hours ahead for domestic flights and three for international, and a group checking bags together should not shave that. Add the drive at the hour you will really be traveling: the Kennedy toward O'Hare and the Stevenson toward Midway are both unreliable from about 6:30 to 9:00 AM and 3:30 to 6:30 PM. Add 15 to 20 minutes to load people and bags at the pickup. Then add a cushion of 20 to 30 minutes, because one traveler will have forgotten a passport or a phone charger. For a 10:00 AM domestic departure from O'Hare out of a downtown hotel, that arithmetic lands on a pickup around 6:45 AM. It feels early. It is correct.

On lead time, airport transfers are the most last-minute category we see. In our booking network, 38% of Sprinter-quoted inquiries arrived less than two weeks before the date, compared with 26% of all inquiries, and only 12% came in three months or more ahead. Short notice is often workable for small vehicles on weekdays. It is much less so for Friday afternoon arrivals in wedding season, for coach-size groups, or during a major convention, so ask as soon as the flights are ticketed.

When the Group Lands on Different Flights

Wedding guests, reunion families, and conference teams rarely arrive on one plane. Decide how to handle the spread before requesting a quote, because it changes the structure of the job.

If arrivals fall within about 60 to 90 minutes of each other at the same airport, one vehicle can wait while early arrivals collect bags and get coffee. Appoint a traveler on the first flight to gather people at an agreed spot inside, since the vehicle itself will be held in a staging area until the group is ready at the curb.

If arrivals stretch across the afternoon, two or three scheduled runs usually make more sense than one long wait, and guests arriving far outside those windows can take a taxi or the train: the Blue Line serves O'Hare and the Orange Line serves Midway.
