How an O'Hare pickup works with a pre-arranged van

O'Hare does not treat a chartered Sprinter like a friend's car at the arrivals curb. Pre-arranged commercial vehicles are directed to designated pickup locations, and those locations differ between the domestic terminals and Terminal 5 and have been rearranged more than once as the airport is rebuilt. Rather than repeat a location that may be out of date, here is the dependable process: confirm the current terminal pickup instructions with us and on the airport's website a day or two before the flight, and share them with every traveler.

What makes a group pickup go smoothly:

• Send flight numbers, not just times. The dispatcher can track delays and adjust.
• Name one lead traveler with a working cell phone who will text when the group has bags in hand.
• Agree on the meeting point by terminal and door number, and tell travelers not to wander to the ride-share zone.
• International arrivals take longer. Customs and baggage at Terminal 5 can add an hour or more after touchdown, so plan the pickup window accordingly.
• Staggered flights are the hard case. If arrivals are spread over two hours, decide in advance whether the van waits or makes two runs.

Eight seats, eight suitcases: why the smallest van is the airport favorite

The reason to choose the 8 over the larger executive Sprinters for an airport run is simple arithmetic. The van body is a fixed size. Every row of seats added to it is space taken from the luggage area or from legroom. With eight seats, there is generally room behind the last row for a checked bag per person plus carry-ons, which is the honest requirement for a group flying in for several days.

A rough guide to what fits, which you should confirm for the assigned vehicle:

• Eight travelers, one checked bag and one personal item each: usually fine.
• Eight travelers with golf bags, trade show cases, or ski gear: tell us. Odd-shaped items use space inefficiently, and you may want a 16 passenger shuttle bus with rear storage, or a second vehicle for the gear.
• Five or six travelers with heavy luggage: the 8 is ideal, and the spare seats handle the overflow.

Sprinter groups tend to be small in any case. Half of the inquiries quoted as a Sprinter in our national booking-network data were for ten or fewer passengers. When a vehicle in the 1 to 10 seat range was specified, 98% of those requests had headcounts to match, so people rarely over-order at this size. Hosting clients: the dinner that starts in the van

A client dinner is a small piece of theater, and transportation is the first and last scene. Collecting three visiting clients and four of your own people from a Loop hotel in one quiet vehicle, rather than sending them off in separate ride-shares, keeps the conversation going and removes the awkward wait on the sidewalk afterward.

The executive Sprinter suits this because it is neutral. It does not look like a party, which matters when the client is a hospital system or a law firm, and forward-facing seats let people talk to their neighbor or look out the window without being on display. The tall door and steps are easy for anyone in business attire.

Useful planning details: tell the restaurant that a van will be dropping a party of eight, and ask where they prefer vehicles to stop. In the West Loop and Fulton Market, Randolph and Fulton Market streets are busy with valets in the evening, so a drop around the corner is often quicker. In the Gold Coast and River North, one-way streets decide which side of the block the door opens onto. Have the driver's number with one host, and agree on a pickup time with a 15-minute buffer rather than calling when dessert arrives.

Executive Sprinter, limo Sprinter, or a pair of SUVs?

Three options compete for a group of six to eight, and each has a clear use.

Two black SUVs are the default for many travel managers. They are easy to find and they handle luggage well. The drawback is that the group is split, two drivers have to coordinate, and the cost of two vehicles usually exceeds one van.

A limo Sprinter uses the same Mercedes van with a lounge interior: seats around the perimeter facing inward, lighting, a bar area. It is excellent for a birthday dinner or a winery day. It is a poor airport vehicle because perimeter seating leaves less room for bags, and riding sideways on the expressway is less comfortable for a long transfer.

The executive Sprinter keeps the group in one vehicle, faces everyone forward, and reserves real space for luggage. It is the choice when the ride is a means to an end.

Short notice is normal at this size, within limits

Small-vehicle travel gets arranged late. Among quote requests in our network that specified a 1 to 10 seat vehicle, 41% came in fewer than 14 days before the trip, compared with 26% across all inquiries. Business travel in particular runs on short timelines: a meeting gets confirmed on Tuesday, flights are booked Wednesday, and someone remembers ground transportation on Thursday.

On an ordinary weekday, that is usually workable. Executive vans are busiest around major conventions at McCormick Place, during large trade shows in Rosemont, and on Friday and Saturday evenings when they are borrowed for weddings and dinners.
