Why the night before needs its own plan

Rehearsal dinner transportation looks small next to the wedding day, which is exactly why it gets forgotten until the week of. But consider who is attending. It is the first time both families are in the same room, half the guests flew in that afternoon, grandparents are tired, and nobody from out of town knows how far Wicker Park is from the Magnificent Mile.

A single vehicle solves several problems at once. It keeps the group on schedule, so the dinner starts when the restaurant expects it rather than trickling in over 40 minutes. It removes the parking question in neighborhoods where parking is expensive or scarce. And it means nobody who has been toasting the couple has to think about driving back to the hotel.

The evening also has a quirk the wedding day does not: it usually has two parts with different guest lists. The rehearsal itself involves only the wedding party, officiant, and immediate family, often at the ceremony site in the late afternoon. The dinner that follows may include every out-of-town guest. Decide early whether your vehicle needs to cover both legs or only the dinner, because that changes both the size and the hours. Hotel block to restaurant: routes and curb realities

Most Chicago rehearsal dinners run between a downtown hotel block and a restaurant private room a few miles away. The popular dining areas each have their own loading personality.

• West Loop and Fulton Market. Randolph Street and the blocks around it are packed on Friday evenings with valet stands, rideshares, and deliveries. A large bus may need to unload around the corner, so tell guests to expect a short walk.
• River North. Short blocks and one-way streets. Easy from nearby hotels, but build in time for the crawl across the river at rush hour.
• Lincoln Park, Old Town, and Wicker Park. Residential side streets and bike lanes limit where a bus can stop. A smaller vehicle is often the better fit.
• Suburban dinners. Restaurants and country clubs around Elmhurst and Oak Brook, in Naperville, or on the North Shore usually have parking lots, which makes loading simple, but a Friday outbound drive on the Eisenhower or Kennedy can double.

Ask the restaurant's event coordinator one question: where do groups arriving by bus normally unload? They have seen it before and will know whether the front door, a side street, or a nearby lot works. Rehearsal dinners also tend to fall on Friday evenings, the single worst traffic window of the week, so leave the hotel earlier than the map suggests.

Choosing a vehicle for a mixed-age, dressed-up group

This is not a party bus crowd in the usual sense. The group includes grandparents, small children, in-laws meeting for the first time, and people in heels and suits. Comfort, easy boarding, and being able to hold a conversation matter more than lights and a sound system.

For the wedding party and immediate family only, up to a dozen people, a 12-passenger executive Sprinter van is quiet and easy to step into, and it fits at almost any restaurant curb. For 15 to 24 guests, a 24-passenger shuttle bus offers forward-facing seats and a center aisle, which older relatives generally prefer to perimeter seating. If the wedding party plans to continue to a bar after dinner while parents head back, a 20-passenger party bus can do the family run first and then turn into the after-dinner ride.

Weddings draw larger groups than most occasions. Across wedding inquiries in our booking network, 26% were for 21 to 30 passengers, well above the 17% seen across all events, and rehearsal dinners with a full out-of-town guest list land in that same range. Booking it with the wedding, not after it

The easiest time to arrange the rehearsal dinner ride is the same day you arrange the wedding vehicles. You already have the hotel addresses, the guest counts, and the contact person, and asking for both dates in one request lets you see the whole weekend on one quote.

Wedding planning runs on a longer clock than most events. In our network's data, 41% of wedding inquiries came in at least 90 days ahead, compared with 18% for all occasions. The rehearsal dinner usually trails behind because the restaurant gets booked later than the venue. That is fine. Send the request as soon as the restaurant is confirmed, even if the guest list is still moving, and update the count later.

Timing within the weekend matters too. Friday evening is a busy slot for every kind of group outing, and in the fall, when 45% of wedding inquiries fall, Friday nights also compete with high school football and homecoming events in the suburbs. A Thursday rehearsal dinner, increasingly common for Saturday weddings with a Friday welcome party, is noticeably easier to place.

Keep the reserved block honest. Most rehearsal dinner service needs three to four and a half hours: hotel pickup, possibly the rehearsal stop, the dinner itself, and the return. Toasts, the return trip, and what to avoid

Dinners run long. Toasts start late, a slideshow appears that nobody scheduled, and the restaurant is happy to keep pouring. Plan the return with that in mind.

One approach that works well is two return departures: an earlier one for grandparents, families with children, and anyone with an early hair appointment, and a later one for everyone else. If the distance is short, one vehicle can do both. Tell guests the two times at the start of dinner so nobody feels stranded or rushed.

Wine at dinner is the restaurant's business, but drinks in the vehicle follow the vehicle's rules: 21 and older only, and only if the assigned vehicle permits it. With children and both families aboard, most couples skip it for this ride.

Common missteps:

• Assuming everyone is at one hotel. Ask. A second pickup adds 15 to 25 minutes downtown.
• Forgetting the rehearsal leg. If the wedding party needs a ride from the ceremony site to dinner, say so up front.
